Where to keep receipts and warranties for important purchases

A simple purchase folder: what to record, how to save a readable receipt and where to keep warranty information so it is easy to find later.

When new equipment arrives, you usually want to start using it. The receipt stays in the bag, the order confirmation in your inbox and the manual in the box. Months later, even the model name may be difficult to recall. A short record made on purchase day can bring that information together.

One purchase, one record

Use a name that matches how you would look for the item: “Washing machine — kitchen” or “Black headphones”. Add the model and serial number to a note if they are useful for service enquiries. A photo of the box alone is not enough unless you have checked that the relevant numbers are readable.

  • Purchase date and seller’s name.
  • Model name or product reference.
  • Receipt or order confirmation.
  • Warranty terms and service contact, when supplied.
  • Location of the original documents.

Check the saved copy immediately

Photograph the receipt in even light, including its edges, date and item list. Open the saved file and zoom in on the small print. If the seller supplies an electronic document, keep that file rather than only a screenshot of an email. Store the original in a place you can identify later.

Take dates from the purchase terms

Do not give every item the same assumed warranty period. Find the relevant period in the documents for that purchase. If the starting date or service coverage is unclear, ask the seller or manufacturer. A reminder should reflect a date you have checked, not a guess.

Write a useful next action

In KeepExpiry you can create a warranty record, attach a receipt and save the date stated in the documents. A reminder such as “Check the headphones and warranty documents” is a practical prompt. It does not imply that a service claim is necessary; it simply brings the information back to your attention.

Start with your newest or most valuable purchase. If you can find its receipt, model and seller’s contact in less than a minute, the folder is already doing its job.
