Weekly review of important dates: a simple 15-minute checklist

A practical weekly checklist: review the next 30 days, choose your next actions, check documents, allow preparation time and review existing reminders.

Set aside 15 minutes once a week and open your calendar, task list and document folder. The aim is not to finish everything, but to see what is coming and where to start. Choose a convenient day and set a timer.

1. Review the next 30 days — 3 minutes

Look through the next 30 days in your calendar. Cross-check appointments, renewals, payments and document expiry dates against your task list rather than relying on memory. Gather missing dates in one working list and flag anything that needs confirmation.

  • What needs action or a decision during this period?
  • Which exact dates need checking against an official notice or document?

2. Choose the next action — 4 minutes

Give each item one specific next action. Replace “sort out documents” with “check the required documents list”, or “prepare for appointment” with “call to confirm what to bring”. Note who will do it and when.

  • Start with a verb: find, confirm, order or prepare.
  • Waiting for someone else? Set a date to follow up.

3. Check the documents — 3 minutes

Check what you have and what is missing for each upcoming task: identification, an application, a booking confirmation, a receipt or other required material. Do not guess at a universal checklist; confirm the requirements with the organisation involved.

  • Note where the original or relevant file is stored.
  • Check that copies are readable and files are accessible.

4. Allow preparation time — 2 minutes

Separate the deadline from the day you need to start. Consider travel, finding documents, waiting for replies and correcting mistakes. Choose a buffer based on the task’s requirements and dependencies, rather than using the same allowance for everything. For example, you might check documents on Monday for a Friday appointment. This is an illustrative schedule, not an official processing time.

5. Check existing reminders — 3 minutes

Review the reminders already set in your calendar or chosen tool. Do more than check that an entry exists.

  • Are the date, time and time zone correct?
  • Is the reminder active, and are notifications allowed where you expect them?
  • Does the message make the next action clear?
  • Is there a reminder to start preparing, not just one for the deadline?

Finish by choosing your first action and scheduling next week’s review. Keep tasks beyond the 30-day window for future reviews rather than deleting them. This checklist offers practical organisational advice, not a guarantee of results or of meeting every deadline.
